For anything about your data, email info@coventrystays.co.uk or call 024 7745 0677.
What we collect
When you send an enquiry: your name, email address, telephone number, company name if you give one, your dates, the number of guests, the reason for the stay and anything you write in the message box.
When you book: the details you enter on the booking page (run for us by our booking system provider, Lodgify), the names of the people staying, the dates and anything needed to run the stay safely.
When you pay by invoice: the company name, billing contact, purchase-order reference and payment records.
This website does not use analytics or advertising cookies. The booking box is provided by Lodgify and the fonts are served by Google Fonts, which receive your device's IP address so they can deliver their content.
Why we use it
To answer your enquiry and quote for a stay, as a step you have asked us to take before a contract (or, where you are enquiring for a company, in our legitimate interest in replying).
To arrange and run your booking, send arrival details and take payment, because it is necessary to perform our contract with you or your employer.
To keep accounting and tax records and deal with complaints or claims, because the law requires it and in our legitimate interest in defending our position.
We do not sell your data or use it for anyone else's marketing. We will only send you marketing emails if you have asked us to.
Who we share it with
Our booking system provider (Lodgify), our email and website hosting providers and our accountants, each only as far as they need to provide their service to us. We share data with the police or other authorities only where the law requires it.
How long we keep it
Enquiries that do not lead to a booking are deleted within 12 months. Booking and payment records are kept for six years after the end of the financial year they relate to, as tax law requires.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to how we use it or ask us to restrict it. Contact us using the details above and we will reply within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
